Employee Group Life Insurance Claim Register - Information for Data Subjects

What personal data do we collect concerning you?

We collect your personal data when you file an employee group life insurance claim.

We only collect the data we need in order to process your claim.

Personal data collected in the register includes:

  • personal data, such as names and personal identification numbers, used to individualise and identify a person
  • contact information, such as the address, e-mail address, and phone number
  • information relating to the insured's employment relationship required for the processing of claims
  • the insured person's health data required for the processing of the claim (in cases where an increase in compensation is applied for)

From where do we obtain your personal data?

We primarily receive your data directly from you, when you submit a claim. Such data typically consists of the documents, emails, and other data that you provide.

We also receive data from registers held by the authorities, mainly the Finnish Centre for Pensions and the Population Register Centre.

We obtain the insured's health information from the claimant and medical institutions.

In addition, we receive information about the insured's employment relationships directly from the employer.

Why do we collect your personal data?

We collect your personal data in order to process your claims. We use your personal data to respond to your requests and questions, and to process your claims. We also use your personal data to improve our customer service.

Your personal data will also be used by the Delegation of Group Life Assurance if you appeal against our decision and request an opinion from the Delegation.

We do not perform profiling or other analyses on the basis of the personal data available to us. In addition, our employee group life insurance does not make automated decisions.

How do we process your personal data?

Careful and cautious handling of your personal data is of prime importance to us. When we process your personal data, we comply with the legislation in force and good data processing practices.

We ensure that our processing of your personal data has a lawful basis in every case. The lawful basis of the employee group life insurance claim register rests on the pursuit of legitimate interests.

We supervise access to and the processing of your personal data. Our personnel are bound by the confidentiality of client data. We use training and guidance to secure the skills of our personnel involved in the processing of personal data. We immediately intervene in cases of abuse.

Your data will only be processed by employees of the Workers' Compensation Centre who need to process your personal data in order to perform their duties.

We use subcontractors in the provision of our services. For this reason, your personal data may be transferred to such parties for processing, on the basis of an assignment from us. These parties may only process your data in accordance with the instructions we issue. They have no right to use your data for their own purposes, such as direct marketing. By agreement and other arrangements, we ensure that our subcontractors always process your data with due care and in accordance with good data-processing practices.

We will only process your data within the EEA. The EEA includes the EU Member States and Iceland, Liechtenstein and Norway. Data in the personal register will not be transferred outside this area.

To whom is your personal data disclosed?

We will only disclose your personal data when such disclosure is based on the consent of the data subject or on legal provisions.

For this reason, we will disclose your data to parties such as the Finnish Tax Authority, a Local Register Office or the social welfare authorities.

In addition, data from the register is disclosed for statistical purposes, but in such cases individual persons are not identifiable from the statistics prepared.

What rights do you have?

You have the right to be informed of whether or not your data is being processed. You have the right to access the data contained in the register and to request the rectification of such data. If you would like to exercise your right of inspection (access), please contact the employee group life insurance claim services unit of the Workers' Compensation Centre, tel. 0409 222 900, from 9am to 3pm on weekdays.

At all stages of the process, you can provide additional information to the Workers' Compensation Centre and rectify data collected about you in the register. However, the Workers' Compensation Centre cannot rectify data it has received from other registers, such as the Population Register Centre. You should request the rectification of such data from the data controller.

You have the right to restrict the processing of your data in accordance with article 18 of the GDPR (for example, in a situation where you dispute the accuracy of the personal data held in the register). You also have the right, under article 21, to object to the processing of your data.

Because the processing of such data is necessary to establish, defend or exercise legal claims, you do not have the right to the erasure of the data. Moreover, you do not have no right to the transfer (portability) of your data from one system to another.

If you suspect that your personal data is being processed illegally, you can submit a complaint to the Data Protection Ombudsman.
